What Actually Drives the Price
Event length. Coverage is usually billed hourly or by half-day/full-day blocks. A three hour gala costs far less than a three-day, multi-track conference.
Number of photographers. A single-track event might need one photographer. A conference with breakout sessions, an expo hall, and a general session running simultaneously often needs two or three to cover it properly.
Turnaround speed. Same-day or next-day delivery typically costs more than standard one-to-two-week turnaround, since it requires the photographer to edit on-site or immediately after the event rather than batching it in with other work. It sometimes even requires outsourcing the editing which is an added cost.
Deliverables. A basic gallery of color-corrected images costs less than a package that includes a headshot station, a same-day highlight reel, or raw file access for an in-house editing team.
